This privacy policy statement was prepared by the Zoho Group, which consists of all entities listed here (“Zoho”, “we”, “us”, or “our”).

Zoho’s Commitment to Privacy

For nearly 25 years, Zoho has been committed to protecting customer and user privacy, even before privacy issues were as prominent and protected as they are today.

 

We collect only the minimum amount of information from our users that we believe is essential to running our business or required for the specific transaction at hand. We let our customers know what information we collect about them and allow them to opt out of certain offers. But by far our biggest commitment is that we will not profit from advertising in our products—never have, never will—even in our free products. This means we avoid the fundamental conflict of interest between collecting customer information and growing advertising revenue, and the inevitable compromises in customer privacy that come with it.

 

The goal of this Privacy Policy is to clearly explain what information we collect, how we use it, and how we don’t use it. This Privacy Policy is longer than we intended, but we had to cover every possible relevant situation. We aim to keep the language as concise and direct as possible.

 

Scope of this Privacy Policy

This Privacy Policy applies to all Zoho websites that link to it. It also applies to the products and services provided by Zoho through these websites, mobile applications, and applications published by Zoho on Zoho's online application market and other third-party application markets, software development kits (SDKs), and application programming interfaces (APIs) for use by third-party websites and applications. This Privacy Policy does not apply to other websites, products, or services that have separate privacy policies.

 

This Privacy Policy is divided into three parts:

 

Part I - Information Collected and Controlled by Zoho

 

This part covers how Zoho collects and uses information about website visitors, potential customers, users of Zoho products and services, and others who contact Zoho through forms or email addresses posted on or linked to our websites.

 

Part II - Information Processed by Zoho on Your Behalf

 

This part describes how we handle the data you entrust to Zoho when you request or use our products and services, or when you share any personal or confidential information with us when you request customer support.

 

Part III - General

 

This part covers topics related to Part I and Part II, as well as other general topics, such as Zoho's commitment to security and how we will notify you when we change this Privacy Policy.

 

Part I - Information Zoho Collects and Controls

What Information Zoho Collects

We collect information about you only when we need it for some legitimate purpose. Zoho only obtains information about you when: (a) you provide it to us; (b) Zoho collects it automatically; or (c) Zoho obtains it from a third party. Below we describe the various scenarios for each of these three categories and the information collected in each case.

 

Information You Provide Yourself

 

i. Account Registration: When you register for a Zoho account to access one or more of our services, we ask you to provide information such as your name, contact number, email address, company name, and country to complete the account registration process. You will also be required to enter a unique username and password to access the account you create. You may also provide us with additional information such as your photo, time zone, and language, but this information is not required to register an account. After registration, you can choose a security question and provide answers to your security questions - if you provide them, they will only be used to reset your password.

 

ii. Event Registration and Other Form Submissions: We record the information you submit when you (i) register for an event (including webinars or seminars), (ii) subscribe to our newsletter or any other mailing list, (iii) submit a form to download any product, whitepaper, or other material, (iv) enter a contest or respond to a survey, or (v) submit a form to request customer support, get a quote, or contact Zoho for other purposes.

 

iii. Payment Processing: When you purchase a product or service from us, we ask you to provide us with your name, contact information, or other payment account information. When you submit credit card information, we store the cardholder's name and address, expiration date, and the last four digits of the credit card number, but we do not store the actual credit card number. In order to process future payments quickly, we may store your credit card information or other payment information in a secure, encrypted format on our payment gateway service provider's servers, subject to your consent.

 

iv. Testimonials: When you authorize us to post a testimonial about our products and services on the Site, we may include your name and other personal information in the testimonial. We will ask you to review and approve the testimonial before posting it.

 

v. Information about your interactions with Zoho: We may record, analyze, and use information about your interactions with us, including email, phone, and online chat communications with our sales and customer support professionals, to improve our interactions with you and other customers.

 

vi. Mobile applications: When you use Zoho's mobile applications, you may need to enable microphone permissions to use features such as recording and voice recording; enable storage permissions and write permissions to save the recorded sounds to local files; and enable read/access permissions to access your photos, media content, files, etc. to provide you with a complete mobile application experience.

 

Information Zoho automatically collects

 

i. Information from browsers, devices, and servers: When you visit our website, we collect information provided by web browsers, mobile devices, and servers, such as Internet Protocol addresses, browser types, language preferences, time zones, referring web pages, access dates and times, operating systems, ANDROID IDs, mobile device manufacturers, and mobile network information. We include this information in our log files to better understand our website visitors.

 

ii. Information from first-party cookies and tracking technologies: We use temporary and permanent cookies to identify users of our services and enhance the user experience. We embed unique identifiers in our downloadable products to track product usage. We also use cookies, beacons, tags, scripts, and other similar technologies to identify visitors, track site navigation, collect demographic information about visitors and users, understand the effectiveness of email campaigns, and understand the engagement of targeted visitors and users by tracking your activities on our website. We also use first-party local storage objects (LSOs), such as HTML5, to store content information and preference information for the purpose of providing certain features.

 

iii. Information from mobile applications: Our mobile applications utilize the auto-start or self-launch feature on your device. This feature allows our applications to automatically launch when your device is powered on or when certain events occur. We use this feature to enhance the user experience and ensure that our applications are always available and can provide timely notifications, updates, and relevant information.

 

iv. Information from application logs and mobile analytics: We collect information about your use of our products, services, and mobile apps from application logs and internal usage analytics tools to understand your usage and how our products can be improved based on business needs. This information includes, but is not limited to, number of clicks, mouse scrolls, features accessed, time and frequency of access, errors generated, performance data, storage space used, user settings and configurations, and the device used and its location.

 

Information Zoho obtains from third parties

 

i. Registration using federated authentication service accounts: You can log in to Zoho services using supported federated authentication service accounts. These services authenticate your identity and give you the option to share certain personal information with us, such as your name and email address.

 

ii. Referrals: If someone recommends you any of our products or services through our referral campaigns, he or she may provide us with your name, email address, and other personal information. If you provide us with information about others, or if someone else provides us with your information, we will use that information only for the specific reason for which it was provided to us.

 

iii. Information from our reseller partners and service providers: If you contact our reseller partners or otherwise express interest in our products or services to them, the reseller partners may share your name, email address, company name, etc. with Zoho. If you sign up for or attend an event sponsored by Zoho, the event organizer may share your information with Zoho. If you comment on our product and service reviews, Zoho may also collect information about you from review websites. We may also collect information about you from other third-party service providers used to market our products and services.

 

iv. Information from social media sites and other public sources: When you provide feedback or comments about our products, interact on app stores, review sites, or social media sites through posts, comments, questions, etc., we may collect such publicly available information, including profile information, so that we can contact you, improve our products, better understand user feedback and questions, or copy and publish your feedback on our website. We must inform you that once this information is collected, we may retain it even if you delete it from these sites. Zoho may also add and update information about you from other public sources.

 

v. To ensure the stability of our client and realize its functions, so that you can use more services and functions, our applications may embed partners' SDKs or other similar applications. We will conduct strict security tests on the application program interface (API) and software development kit (SDK) used by partners to obtain relevant information, and agree on data protection measures with partners to require them to process personal information in accordance with this policy and any other relevant confidentiality and security measures. Purpose of Information Use

In addition to the above purposes, we may use your information for the following purposes:

 

Communicate with you (for example, via email) about the products you download and the services you register, changes to this Privacy Policy, changes to the Terms of Service, important notices, etc. When you use the APP, we collect Android ID, SD card information is only used to bind the account and mobile device, audit logs and other business functions, in order to ensure the normal operation of the login service, verify the legitimacy and security of the device and login identity;

Set up and maintain your account, and complete other matters required to provide our services, such as enabling collaboration, providing website and email hosting, backing up and restoring your data, etc.;

Understand how users use our products and services, how to monitor and prevent problems, and how to improve our products and services;

Provide customer support, and analyze and improve our interactions with customers;

Detect and prevent fraudulent transactions and other illegal activities, report spam, and protect the rights and interests of Zoho, Zoho users, third parties and the public;

Use aggregated and anonymous usage data to update, expand and analyze our records and highlight our other products and services based on usage. We do not use your information for targeted advertising about third-party products and services;

Analyze trends, administer our website, and track visitors on our website to understand what they are searching for and better help them;

Monitor and improve marketing campaigns and make recommendations relevant to users.

Legal Basis for Collection and Use of Information

Legal Basis for Processing Applicable to Zoho: The legal basis for our information collection and use depends on the personal information concerned and the context in which we collect it. Most of our information collection and processing activities are generally based on (i) contractual necessity, (ii) human resource management needs, (iii) statutory duties, obligations or responsibilities, (iv) public interest activities and events, and (v) your consent and prior disclosure. Sometimes we are required by law to collect your information or may need your personal information to respond to a public health emergency.

 

Withdrawal of Consent: If we rely on your consent as a legal basis, you have the right to withdraw your consent at any time, but this will not affect the processing of your personal information that has already occurred.

 

Your Choices Regarding Use of Information

Unsubscribe from Unnecessary Electronic Communications: You can choose not to receive newsletters and other non-essential communications by using the "unsubscribe" function contained in such communications. However, you will continue to receive important notifications and emails, such as account notification emails (password changes, renewal reminders, etc.), security incident alerts, security and privacy update notifications, and important transactional and payment-related emails.

 

Disabling Cookies: You can disable browser cookies before visiting our website. However, if you do so, some features of the website may not work properly.

 

Optional Information: You can choose not to provide non-mandatory profile information, such as a photo. You can also delete or change your non-mandatory personal information. When you submit a form linked to our website, you can choose not to fill in non-mandatory fields.

 

Who We Share Your Information With

All Zoho Group entities listed here have access to the information covered in Section I. We do not sell any personal information. We share your information only in the ways described in this Privacy Policy and only with parties who have appropriate confidentiality and security measures in place.

 

Employees and Contractors: Employees and Contractors of all relevant Zoho Group entities have access to the information covered in Section I on a need-to-know basis. We require all employees and contractors of Zoho Group entities to follow this Privacy Policy with respect to the handling of personal information we share with them.
